Video Teleconferencing Supported on Main Campus

On the main campus, CETS supports IP-based (H.323 protocol) video teleconferencing (VTC) incorporating voice, video and data communication with any other H.323 system in the world. We provide this service in eight VTC venues, any of which must be scheduled in advance around other uses. Please see scheduling below to determine how far in advance. Under special circumstances, we can also support the older ISDN-based (H.320) VTC standard in a limited number of our venues, but the requester must pay for any ISDN charges incurred.

When neither H.320 nor H.323 VTC connections are possible or practical, CETS will support IP-based VTC over the Skype network. This service is provided on a very limited basis, and only when the remote venue has a Skype account and a technician to support it at that end. Skype connections will not be established where the use of Skype is prohibited or compromised by local law of the remote venue or the policy of an Internet service provider.

Telepresence VTC

Telepresence VTC incorporates wide screen and high-definition video, directional audio, specialty lighting, acoustics and room treatments, and a very high-bandwidth IP connection to a similarly-outfitted room at the remote venue. The sole Telepresence venue on the main campus is located in New North GW03, across from McNeir Auditorium.

Telepresence communications with the Global Classroom on the Doha, Qatar, campus take priority in GW03 Mondays through Thursdays, 8 AM to 11 AM EST/EDT. At most other times, New North GW03 is available for connections to other Telepresence or standard VTC remote venues, when that room is scheduled first by the Office of the University Registrar.

CETS provides on-site support of classes using Telepresence VTC. For other meetings and training sessions, CETS provides set-up, testing, but not a technician to stay in the room during the meeting or session. Audio-Conferencing Support on the Main Campus

CETS will support audio-conference connections only for:

scheduled classes
built-in VTC venues (with ceiling microphones).
Classes wanting to audio-conference must follow the same procedures and advance notice requirements as requesters of video-teleconference services (see scheduling below). CETS does not provide audio-conference support for non-classes. Also, CETS will not be responsible for any equipment that is not pre-installed into VTC venues.

University Information Services (UIS) provides all support for audio-conferences outside of main campus VTC venues. To request conferencing in any room that is not a VTC venue, users must request telephone service and audio-conferencing equipment from UIS Customer Service (202) 687-4800 with a valid GU budget number.

Most main campus classrooms lack telephone lines, so audio-conferencing with typical desktop equipment (e.g. Polycom) is not possible without requestor payment to UIS for installation of a new working telephone line and for the on-going service charges on that line.

Special Charges

For scheduled classes, there is no charge for CETS VTC services, other than for ISDN-based teleconferencing. However, if the participants at the Washington, DC. end are not regular faculty, staff and/or students of Georgetown University, charges for technology use and staff time may apply

Scheduling a Video Teleconference on Main Campus

In any event, the following must occur before CETS can act as an intermedary to any VTC session:

1) The requester at the Washington, DC, end must complete the attached information form or complete the online form (providing the date and time of the session, the number of participants at Georgetown, the nature of the program for which the VTC session is initiated, and other information);

2) Either on that form, or otherwise, the requester must provide CETS with the name and contact information of the technical support person(s) at the far end of the call. For international contacts, an email address of the technical support person must be provided;

3) Using the information provided, CETS will try to reserve the use of a main campus VTC venue at the date and time requested. If a venue can be reserved, CETS will confirm that venue with the requester;

4) If the remote venue is one with which we have never before connected, we need to conduct a brief test connection with that venue at some time prior to the main session. This test must be coordinated with the schedule of the local VTC venue on the main campus, the availability of the remote venue, and the personal schedules of any technicians involved at either end.

Because of the procedures above, we ask for at least one week's notice for our VTC services and more for international VTC connections. Please contact CETS at (202) 687-7491 to begin the process of scheduling a VTC on the main campus.
