CETS Event Services requires the payment of Cost of Service through GMS Work Tags:

  • All CETS Event Services are fee-for-service operations, where CETS collects payment for student assistant wages and for equipment procurement and upkeep.
  • The same fee structure applies for all CETS Event Services, whether
  • No charges are imposed on semester classes scheduled in the ICC Auditorium by the Office of the University Registrar.
    • In addition CETS may waive charges for certain other programs that are directly related to specific classes for academic credit.
  • Time-based charges (in quarter hour increments) applies for the basic voice amplification system (all components, up to three wireless microphones) and all CETS technician time.
    • For Auditoria, the time starts when the technician arrives at the venue (some time before program start) and runs until the time the technician leaves the venue (15 to 30 minutes after the program concludes).
      • It coves all elapsed CETS staff time in the venue.
    • For events where the tech systems must be brought into the venue (“Mobile Services“), the time starts when technicians arrive at our storage location to start transporting the tech components, and ends when all components have been returned to storage and the techs leave that storage venue.
      • It covers all elapsed CETS staff time supporting that venue, including transport, set-up, tear down and return transport time.
    • For all programs and events, there is a four hour minimum time charge, normally $400.
      • When the total CETS time begins to exceed 4 hours, any additional time is calculated at $100 per hour, in quarter hour increments.
      • An all-day event, for instance, requiring eight, nine or ten hours of CETS staff time in a single day, would be billed at $800.00, $900.00 or $1,000.00, respectively.
    • For very large venues, the base time charge might start at $600.00 instead of $400.00.
      • It takes a lot more equipment – and staff to transport and set up that equipment – to successfully support an event in Gaston Hall, than it does to support an event in the Bioethics Library, two floors below.
    • In the case of a high-profile or government leader speaking, the U.S. Secret Service (or other law enforcement) may need to conduct a security sweep of the venue.
      • This requires CETS to set up and test *all* tech systems *before* the security sweep (because we cannot add anything after the sweep).
      • That sweep could add two, three four or more hours to the total time that CETS must support that event.
  • Service Based Fees are for particular services on a per-day basis., including:
    • Video/computer projection;
    • Audio recording of a program;
    • Video recording of a program;
    • Supporting a Zoom connection for a program (remote presenter and/or remote audience);
    • “Mult-box” or distribution amp – audio provided to third-party camera crews (network, documentary or GU department)
    • Any other needed component that is not part of the regular Auditorium technology, and which CETS must add to the tech system for a particular event, could be billed at a daily rate.
  • Total CETS Invoiced and Journaled Costs are usually a combination of Time-based and Service-based fees.
    • But even the total is usually much lower than the cost of an External AV Firm (Optimum Audio or Bluestreet Productions) providing the same technology over the same time frame in the same venue.
